Custom & Made-to-Order Policy

At Khanoomi, every custom-made garment represents a combination of traditional Afghan craftsmanship, contemporary design and individual attention to detail.

Our garments are often handcrafted using specialist fabrics, intricate embroidery, embellishments and traditional techniques. Due to the nature of this process, customers should understand that bespoke clothing differs from mass-produced garments.

This policy explains our custom-order process, design standards, production timelines, customer responsibilities and the arrangements that apply when changes or concerns arise.

By placing a custom order with Khanoomi, customers acknowledge the terms outlined below, subject to their statutory consumer rights.

1. What Constitutes a Custom Order?

A custom order is a garment produced or modified according to a customer's individual requirements.

This may include garments made using personal body measurements, requested lengths, particular colour combinations, fabric preferences, embroidery specifications or a design developed from a reference image.

Custom orders may include original Khanoomi designs, modified versions of existing collections, traditional Afghan garments, bridal outfits and designs inspired by photographs or AI-generated imagery.

A custom order is not necessarily an exact reproduction of a reference garment. The agreed specifications and any limitations explained before purchase determine what Khanoomi undertakes to produce.

2. Design Interpretation & Designer Discretion

Khanoomi's designers retain professional discretion over technical and aesthetic details that have not been expressly agreed with the customer.

These may include:

·       Thread colours and embroidery techniques.

·       Placement and attachment of coins, beads and embellishments.

·       Minor decorative details and finishing techniques.

·       Stitching methods, lining and internal construction.

·       The arrangement of decorative elements where the precise placement has not been specified.

·       Minor adjustments required to accommodate measurements or garment construction.

Customers are not required to approve every technical aspect of the manufacturing process.

Our designers use their professional judgement to create a balanced and cohesive finished garment while respecting the specifications agreed at the time of purchase.

Important: Designer discretion does not permit Khanoomi to disregard an expressly agreed material, colour, design feature or other essential specification without the customer's agreement.

3. Reference Images & Design Similarity

Customers may provide photographs, sketches, screenshots or other reference materials when requesting a custom design.

Unless expressly agreed otherwise, reference images are used to communicate the desired style and appearance rather than to guarantee an identical reproduction.

Where a garment is commissioned as an interpretation of a reference, Khanoomi aims to achieve the closest reasonably available match in terms of silhouette, colour scheme, fabric characteristics and decorative style.

Differences may arise from fabric availability, craftsmanship, embroidery techniques, construction requirements and the customer's measurements.

A 100% carbon-copy reproduction is not guaranteed unless an exact reproduction has been expressly agreed and confirmed as achievable.

Any significant limitations affecting the requested design will be communicated before the order is confirmed, where reasonably identifiable.

4. AI-Generated & AI-Inspired Designs

Khanoomi accepts enquiries for garments inspired by artificial intelligence (AI) generated images.

However, customers must understand that AI-generated images are digital concepts, not necessarily physically achievable garments.

AI-generated imagery may contain unrealistic or technically impossible details, including:

·       Fabrics, textures or colours that do not exist commercially.

·       Embroidery or embellishments that cannot be reproduced using practical manufacturing techniques.

·       Unrealistic garment structures, draping or proportions.

·       Inconsistent patterns or decorative details.

·       Physically impossible combinations of materials or construction methods.

·       Lighting, shadows and digital effects that alter the apparent appearance of fabrics.

4.1 Design interpretation

An AI-generated reference will be treated as a source of design inspiration unless Khanoomi expressly agrees to reproduce specified features.

Our designers will interpret the concept using suitable materials, practical construction methods and available craftsmanship.

The finished garment may therefore differ from the AI image in texture, colour, structure, embellishment placement and overall appearance.

4.2 No guarantee of identical reproduction

Khanoomi does not guarantee a pixel-perfect or identical reproduction of AI-generated imagery.

The final garment will be assessed against the design specifications agreed between Khanoomi and the customer, rather than against every visual element appearing in the AI-generated reference.

4.3 Design feasibility

Khanoomi reserves the right to decline designs that are technically impractical, unsuitable for available production methods or inconsistent with our craftsmanship standards.

Where significant changes are required to make an AI-inspired design achievable, these will be discussed with the customer before production proceeds.

4.4 Customer expectations

Customers commissioning AI-inspired garments acknowledge that a digital image may create expectations that cannot be replicated exactly in physical fabric.

Differences that were clearly explained and agreed before purchase will not, by themselves, constitute manufacturing defects.

This does not affect a customer's rights where the finished garment fails to meet the agreed specifications or applicable quality standards.

5. Fabric Selection, Availability & Substitutions

Fabric availability is an important consideration in bespoke clothing production.

Certain fabrics, including traditional Afghan textiles, embroidered materials and specialist fabrics, may be produced in limited quantities or sourced from independent suppliers.

5.1 Fabric options

Where Khanoomi presents several fabric options, customers may indicate their preferred choice.

If a specific fabric is expressly agreed as part of the order, Khanoomi will endeavour to use that fabric.

5.2 Insufficient or unavailable fabric

Occasionally, a selected fabric may become unavailable or there may be insufficient material to complete a garment according to the customer's measurements.

In these circumstances, Khanoomi may use the closest suitable alternative, considering the colour scheme, pattern, texture, quality and intended design.

5.3 Time-sensitive orders

For orders with requested completion dates, sourcing alternatives may be limited.

Where the originally selected fabric cannot be obtained in time, Khanoomi will explain the available options, which may include approving an alternative fabric or revising the production timeline.

We cannot guarantee that a particular fabric will remain available until production begins.

6. Colour, Pattern & Material Variations

Colours may appear differently depending on lighting conditions, photography, screen settings and the characteristics of the fabric.

Traditional and handcrafted fabrics may also display natural variations in texture, weave, embroidery and pattern placement.

Customers should be aware that:

·       Photographs may not reproduce colours with complete accuracy.

·       Floral and decorative patterns may appear in different positions depending on fabric cutting and garment measurements.

·       Hand embroidery may contain minor variations resulting from the manufacturing technique.

·       Different fabric batches may display slight variations in shade or texture.

Reasonable variations inherent to an agreed handmade product are not necessarily defects.

However, material differences from an expressly agreed colour, fabric or description will be assessed individually and remain subject to applicable consumer rights.

7. Measurements & Sizing Responsibilities

Customers ordering made-to-measure garments are responsible for providing accurate measurements in accordance with Khanoomi's measurement instructions.

Khanoomi primarily uses inches for garment measurements.

Customers must ensure that measurements are taken correctly and clearly communicated before production begins.

We recommend obtaining assistance from a professional tailor where possible.

7.1 Measurement accuracy

Khanoomi cannot guarantee the intended fit where incorrect measurements have been supplied by the customer.

7.2 Measurement tolerances

Due to the handmade nature of our garments, minor manufacturing tolerances may occur.

Where a specific tolerance applies, it will be communicated as part of the order specifications. Minor variations must be assessed in relation to the garment's design, fabric and intended fit.

7.3 Changes in body measurements

Khanoomi is not responsible for fitting issues caused by changes in the customer's body measurements after the measurements have been confirmed.

7.4 Alterations

Alterations requested because of incorrect customer-supplied measurements, changes in personal preference or subsequent body changes may incur additional charges.

Where a fitting issue results from Khanoomi failing to meet the agreed measurements, the matter will be assessed and an appropriate remedy provided in accordance with the customer's statutory rights.

8. Production Times & Event Dates

Our standard custom-order production timeframe is generally 4–6 weeks, unless a different timeframe has been agreed.

Production times may vary depending on the complexity of the design, fabric sourcing, embroidery requirements and production capacity.

Customers ordering garments for weddings, celebrations or other important occasions must inform Khanoomi of their event date before placing the order.

8.1 Estimated completion dates

Unless a specific completion or delivery date has been expressly agreed as guaranteed, production estimates are indicative rather than guaranteed deadlines.

8.2 Delays

Delays may occur because of material shortages, supplier disruptions, shipping difficulties or other circumstances affecting production.

Khanoomi will communicate material delays and available options as appropriate.

8.3 Rush orders

Rush orders are accepted only where Khanoomi confirms that expedited production is available.

Additional charges may apply.

8.4 Event responsibility

Customers are encouraged to allow sufficient time for production, delivery and any necessary adjustments.

Where an event date is essential, customers must obtain written confirmation that the required delivery date can be met.

Nothing in this section limits the customer's legal rights where Khanoomi fails to deliver within an agreed or legally required timeframe.

9. Changes After Order Confirmation

Once a custom order has been confirmed, Khanoomi may begin purchasing materials, preparing patterns and allocating production resources.

Requests to change measurements, colours, fabrics, lengths or design features after confirmation are subject to feasibility.

Changes may result in additional costs or revised completion dates.

Once production has reached an advanced stage, certain modifications may no longer be possible.

Any additional charges or material changes to the agreed order will be communicated for customer approval before being applied.

10. Production Photographs & Customer Approval

Where appropriate, Khanoomi may share photographs or videos of a completed garment before collection or dispatch.

These photographs are intended to provide an opportunity to review the garment's visible appearance.

Customers are encouraged to raise any concerns promptly and clearly.

Where a customer confirms satisfaction with the photographs, Khanoomi may proceed with the next agreed stage of fulfilment.

11. Deposits, Payments & Cancellation

Custom orders often require advance expenditure on fabrics, materials and specialist labour.

Deposit amounts and payment schedules will be communicated before an order is confirmed.

11.1 Customer cancellation

Genuinely bespoke or personalised goods may be exempt from the usual 14-day online cancellation right where the relevant legal requirements are met.

However, not every garment described as made to order automatically qualifies for this exemption.

11.2 Cancellation after production begins

Where a customer requests cancellation, Khanoomi will consider the production stage, materials purchased, work completed, recoverable costs and applicable contractual and statutory rights.

Any proposed cancellation charge or deduction will be reasonable and proportionate to the circumstances.

11.3 Deposits

A deposit paid for a custom order contributes towards the time and resources committed to that order, including design work, consultations, sourcing, materials, pattern preparation and production work.

If the customer cancels in circumstances where Khanoomi is legally entitled to recover cancellation losses, Khanoomi may retain part or all of the deposit to cover reasonable losses directly resulting from the cancellation. Any amount retained will take account of work completed, costs incurred, costs saved and any amounts recovered or reasonably recoverable through reuse or resale. The full deposit may be retained where those losses equal or exceed the deposit.

11.4 Cancellation by Khanoomi

If Khanoomi cannot fulfil an order, we will discuss suitable alternatives or cancellation and any refund due.

12. Returns, Refunds & Exchanges

Due to their personalised nature, genuinely bespoke garments are generally not eligible for change-of-mind returns.

Customers remain entitled to appropriate remedies where a garment is faulty. A preference for a different design, colour combination or decorative detail does not automatically establish a defect where the garment conforms to the agreed specifications.

Each concern will be reviewed according to the original order agreement, relevant communications and the condition of the garment.

13. Handmade Craftsmanship & Embellishments

Khanoomi garments may incorporate hand embroidery, coins, beads, sequins, traditional trims and other decorative components.

The handmade nature of these details may result in slight variations in placement, spacing and finishing.

Our designers determine technical construction methods unless specific details have been expressly agreed with the customer.

Customers should handle embellished garments carefully and follow any applicable care instructions.

Manufacturing defects will be distinguished from normal characteristics of handmade craftsmanship.

14. Customer Communication & Response Times

Our standard customer-service response time is approximately 24–48 hours during normal business operations.

Responses may occasionally take longer during particularly busy periods or where an enquiry requires consultation with our production team.

All customers are treated fairly and consistently.

Orders approaching agreed production or dispatch deadlines may require operational priority, but this does not diminish our commitment to resolving concerns about completed orders.

We ask customers to communicate respectfully and allow reasonable time for investigations.

Khanoomi may consolidate repeated enquiries into a single response to ensure clarity and avoid unnecessary duplication.

We will not refuse to consider a legitimate complaint merely because the customer has raised the issue previously.

15. Disputes & Complaint Resolution

Where a customer is dissatisfied with a custom order, we encourage them to contact Khanoomi directly and explain their concerns.

Where possible, customers should provide photographs and their order details to assist our investigation.

Our team will review the concern against the agreed specifications, production records and relevant consumer rights.

Where a dispute cannot be resolved immediately, Khanoomi may provide a written explanation of its position and any available resolution options.

Customers remain free to exercise their statutory rights and any lawful payment-dispute remedies.

16. Customer-Supplied Designs & Intellectual Property

Customers providing reference images, artwork or design instructions must ensure they have the necessary rights or permissions for the intended use.

Khanoomi reserves the right to decline requests that may infringe third-party intellectual property rights.

Acceptance of a reference image does not guarantee that Khanoomi will reproduce protected artwork, branding or distinctive third-party designs.

Original Khanoomi designs, photographs and creative materials remain subject to applicable intellectual property rights.

17. Acceptance of Custom-Order Terms

Before confirming a custom order, customers are encouraged to review the design specifications, measurements, fabric choices, production timeframe, price and applicable policies.

By placing an order, customers acknowledge the terms made available to them before purchase.

Any individually agreed specifications or written commitments form part of the order agreement and take precedence over inconsistent general policy wording where legally required.
